The CUC Electronic Toolkit

The CUC Board uses and recommends the following set of tools as its "CUC e-Toolkit":

 

 

Function Description Recommended Tools
E-mail lists A tool by which we can create electronic communities, so that people can easily communicate and discuss topics of common interest by e-mail.

We are evaluating the Google Groups offering as an alternate to Yahoo! Groups, on the advice of some members.

Teleconferencing

A method for allowing people to set up and carry out telephone meetings.

No access to each others' desktops or documents is provided, but this can be accomplished with Web Conferencing or Shared Document Creation.

InstantConference

Participants can dial a 1-800 number if credit card billing has been arranged.

Alternatively, participants can dial long distance to the conference hub.

 

Skype

Poor sound quality/performance when more than 2 people connected, or when other communications tools (e.g., WebEx) are being used. Good for a few people.

Web Conferencing A tool that provides both voice conferencing and the ability to share desktops.

Shared Document Creation A tool allowing people to create documents collaboratively.  (Preferably only one copy of the document should exist.)

PBworks : CUC Wiki

Websites where the content is ediatble bythe users.  (Only one person can update a document at a time.)

 

Google Docs  (Recommended for seasoned users only.)

All collaborators must have Google accounts. Formatting is not easy or great, but many users can edit a document simultaneously.  Viewers see screen update immediately.  Can easily import/export MS Office documents, with some loss of formatting.

Board members use Google Docs for its agendas and its policy development documents.

Document Repository A web location where people can store documents for retrieval by others.

Yahoo! Groups (Files section) : CUC Yahoo! Groups

 

PBworks : CUC Wiki 

 

Both services are in use for this function. The Board are migrating to the use of the PBWorks method, as it's easier to have the files and wiki in one place.

Meeting Setup A tool that allows a person to call a meeting with suggested times and let people show which times work for them.

Doodle

Very useful when setting up meetings with many people. 

Be careful when dealing with people in multiple timezones - make it clear in the meeting description whether all times shown are EST, for example, or if timezone support is enabled (which you do in step 3) and if you want to enable Yes / No / IfNeedBe (which you do by clicking the Options button while finalizing the Doodle).

Shared Calendar A web location that allows participants to build a shared calendar. Google Calendar
Surveys & Polls A tool for creating surveys and reporting on the results.
